About the project
For Die Grüne Schule, we rethought the complete digital presence, from concept and design through to technical implementation. Alongside the website, the project focused on internal operations. We built a password-protected student portal bringing together timetables, course materials and forums for exchange. Students can also save a digital ID directly to Apple Wallet and Google Wallet, making everyday access to school services quicker and more practical.

Course booking
Die Grüne Schule’s booking system makes it straightforward to register for a wide range of courses and seminars, with different dates, formats — in person, online or hybrid — and individually defined conditions.
The clear interface helps people find the right course and move through booking without unnecessary friction. Whether it is a weekend seminar or a programme running over several months, availability is shown in real time. When an event is full, an automated waiting list alerts the next person as soon as a place opens.
Course booking becomes more than a functional step; it is part of a considered overall experience.

Student portal
The protected login area brings together everything students need for their courses in one central, accessible place. They can view all booked courses with detailed information, participant lists, downloads and useful links. Integrated course forums allow direct exchange with fellow students and teaching staff.
Bookings can be managed or cancelled independently, without an extra support step. Students can update their personal data and add their digital student ID directly to Apple Wallet or Google Wallet.
The portal creates a secure central space that organises and connects everyday learning, available at any time and from different devices.

Scheduling
The integrated scheduling tool brings structure to day-to-day teaching. Sessions can be created quickly and linked to the relevant subject, class, available room and teacher, creating a clear digital timetable with little administrative effort.
Teaching staff are informed automatically about new or changed sessions and can confirm or decline them directly in the system. Students always see their current schedule in the personal portal, clearly organised and up to date.
Changes appear in real time, reducing the risk of information being missed. Central administration gives the team a complete overview across planning, coordination and last-minute updates.

Ninox ERP
A cloud-based ERP system built with Ninox gives Die Grüne Schule one central platform for its internal operations. The intuitive interface keeps customer data, course bookings, payment status and orders organised, current and available across devices.
Whether the team is in the office, working remotely or on the move, relevant information remains available on mobile devices. The setup supports GDPR-compliant handling and connects directly with the website, checkout and automated workflows.
Central administration saves time, reduces breaks between systems and keeps the process moving from the first booking through to completed payment. The result is a digital workplace that combines overview with practical efficiency.

Automation
Die Grüne Schule uses a self-hosted n8n setup to run central administrative processes efficiently and with control over its data. Workflows cover course bookings, cancellations, invoice delivery, payment reminders and transfer to accounting, reducing the need for manual handling. Waiting lists are also managed automatically, notifying the next person as soon as a place becomes available.
After a course, participants receive an automatic invitation to share feedback. The system also informs them when new course material or downloads are available, without an administrator having to send each message.
Every workflow remains traceable, documented with a history and flexible enough to adapt or extend. The platform is self-hosted and designed around strong data protection and security requirements. It saves time, reduces avoidable errors and leaves more capacity for what matters: teaching and supporting students.

Every document in one place
Invoices, credit notes, attendance records and certificates are created automatically, stored in encrypted form and made available in the personal portal. Students can access, download or print their documents securely at any time. This saves time, reduces administration and supports a smooth, paperless process.
Automated accounting with Lexoffice
Invoices and credit notes are created automatically, assigned correctly and transferred directly to Lexoffice for preparatory accounting. The integration reduces manual data transfer and saves administrative time, leaving the team more space for teaching and supporting students.
Zoom recordings, delivered automatically
Online lessons are recorded and then placed automatically in the relevant course area — securely, clearly organised and without a manual intermediate step. Students can revisit or deepen the material at any time through their personal portal.
Checkout
Die Grüne Schule’s booking process adapts to different requirements while remaining fair, transparent and easy to use. People can choose between several payment options, including one-off payment, instalments or existing credit.
The system automatically recognises eligibility for reduced student pricing or a course that can be booked at no cost through a funding programme. Prices are calculated dynamically using the relevant factors in real time.
The integrated checkout keeps the complete process coherent from selection to payment, saving time for everyone involved and making the conditions clear.

Flexible instalments with individual conditions
For selected courses, Die Grüne Schule can enable instalments and define individual conditions such as the number of payments, intervals and interest rate. Interest is calculated automatically and added to the total. Each instalment and due date is recorded in the internal ERP, making the schedule transparent and easy to track.
Convenient payments through Mollie
Mollie provides the integrated payment processing for Die Grüne Schule. People can pay by SEPA direct debit, credit card, PayPal or Sofortüberweisung directly within the booking flow. The connection supports fast transactions, automatic payment confirmation and clean integration with the wider system.
