# Pola Workspace: shared project management and brand context

Pola Workspace is the shared creative project management platform used when working with Pola Studio. It brings requests, briefs, feedback, timelines, files and decisions into one place for Pola, the client's internal team and any specialists involved. The purpose is to keep project context attached to the work, giving everyone a clearer view of priorities, responsibilities and progress. It is currently part of a Pola engagement, not a standalone product.

## A shared home for the project

Depending on the project, the workspace holds requests and tickets, timelines, documents, offers, invoices, decisions, team information and brand guidance. Briefs, references and approved files remain connected to their tasks, while chats, approvals and file versions stay in the same space. This reduces the need to reconstruct decisions from separate email threads or ask for status simply to understand what happens next.

The platform supports teams coordinating several people and projects, with visible activity, owners, handovers and approvals. It does not necessarily replace existing specialist tools: those can remain connected or continue doing their particular jobs while the workspace holds the shared project context. People still run the project and make the decisions.

## Brand Base retains the knowledge behind the work

Each brand receives a Brand Base, a living knowledge layer built and maintained by the Pola team. It brings together brand guidelines, tone of voice, mission, messaging and audience information with past campaigns, assets, references, feedback and briefs. Roles, preferences, ways of working and approval processes add the operational context.

Keeping this knowledge connected to current requests gives both people and AI-supported workflows a consistent starting point. Briefing and production can draw on established brand decisions instead of treating each task as unrelated work or requiring the same context to be explained again.

## AI-assisted preparation within the collaboration

Brand Base can support AI agents that turn rough ideas into on-brand briefs, draft pages and sections, and assist recurring research or content work. Additional workflows can be introduced where they save effort or improve clarity. These functions sit within the project and its approval process rather than replacing the people responsible for creative direction and delivery.

## Availability and next steps

Offers and invoices are already connected to their projects. Broader budget visibility and budget tracking are still being developed and should not be treated as fully available functions. The workspace is designed for collaboration with Pola; the exact content and additional AI workflows depend on the engagement.
